Summary:

Overall Responsibility

  • Administrative support for the Department of External Affairs
  • Works independently to update database of office holders and the contacts
  • Event planning and logistics, including on-site responsibilities
  • Interacts with all levels of management and staff, internal and external
  • Managing logistical aspects of annual diocesan events, including: Legislative Breakfasts, Chrism Mass, Routine Ordinations, etc.
  • Managing certain logistical aspects of special events, including: Episcopal Ordinations, Special Masses and Vigils.
  • Writing department memos and letters, sometimes confidential
  • Taking notes on conference calls and responding to e-mail
  • Preparing reports, spreadsheets, presentations, and mail merges
  • Filing, faxing, and scanning documents; uploading contacts
  • Maintaining department calendar: arranging meetings and calls
  • Processing and sorting mail; preparing and receiving shipments
  • Managing check requests and expense reimbursements, mailing checks

Annual and Special Events

Requirements/Skills:

  • Strong MS Word, Excel, and PowerPoint
  • Excellent verbal and written communications skills
  • Strong attention to detail, deadlines, and project completion

Experience/Qualifications:

  • Preferred Bachelor’s degree in relevant field
  • Experience with research and database management
  • Experience in events management
  • Experience working for an elected official or campaign, or in Public Relations
